How can I add team members?

Team members let the people who work on your account — assistants, contractors, staff — sign in with their own email and password, instead of you sharing yours.

You invite them by email. They confirm, and from then on signing in at leadswift.com opens your dashboard for them.

You can turn any login off on its own at any time, without changing your password or disturbing anyone else. You can have up to 10 team members.

What a team member can do

They work in your account and see everything you see: your leads, campaigns, sequences, inbox, exports and sending settings. They can send email, texts and voicemail on your behalf.

Important: Treat a team member the way you would treat someone sitting at your desk. If that is more than you want to give a short-term helper, add their login only while they need it and remove it afterwards.

There are three things they cannot do.

Manage your team: they cannot invite anyone, and they cannot disable or remove any login — including yours. Only you can.

See your billing: your plan, invoices and card details are on your own account page, which they have no access to.

Change your login: they cannot alter your password or your email address.

Their own account page stays theirs — their password and their profile, and nothing of yours. That is also where they change their own password.

Invite someone

Open the menu under your name in the top right and choose Team Members, then press Invite someone.

1. Enter their name, so you can recognise them in the list later

2. Enter the email address they will sign in with

3. Press Send invitation

They get an email with a confirmation link. Nothing is shared until they open it and accept, so an invitation on its own gives nobody access to anything.

Until they accept, they show as Invited. Once they accept that changes to Active, and the list shows when they last signed in.

Inviting an address whose invitation is still outstanding simply sends it again with a fresh link, and the earlier link stops working. You do not need to cancel the first one.

What they need to do

Two things, and neither of them costs anything.

1. Have a LeadSwift login with the address you invited. If they do not have one, they register at leadswift.com with that exact address. They do not need a plan or a payment of their own — they will be working on yours.

2. Open the link in the invitation email and press Accept. If they are not signed in when they click it, they are asked to sign in first and then come straight back to the invitation.

From then on, signing in at leadswift.com opens your dashboard for them.

The invitation expires after 14 days. You can send a new one at any time.

The link works once. If you send the invitation again, the earlier link stops working.

They must be signed in as the address you invited. Signing in as somebody else and opening the link will not work.

Their password is their own. You never see it and you never set it.

Turning access off

Open Team Members from the menu under your name. Each person has two options.

Disable: stops them straight away, on their very next page. Use this for someone who might come back. Press Enable to let them in again.

Remove: deletes the link for good. Use this when they are finished.

Either way they lose access immediately. You do not have to change your own password, and nobody else on your team is affected.

Everything they did stays exactly as it is. Campaigns they built, leads they worked and emails they sent all remain in your account.

Their leadswift.com account is theirs and stays theirs — it simply stops opening your dashboard. Removing someone from your team does not close their account.

An invitation that has not been taken up yet can be cancelled the same way, with Cancel.

If the invitation does not arrive

Ask them to check their spam or junk folder first.

If it is not there, open Team Members and press Send again next to their name. That sends a new email with a new link, and the earlier one stops working.

Every time you send an invitation, the confirmation link is also shown on screen. If their mail is unreliable, copy that link and send it to them however you normally talk to them. It works exactly the same as the one in the email.

Important: The link is all that is needed to accept, so treat it as private.

Check the address on their row as well. A typo means the invitation went somewhere else — cancel it and invite the correct address.

Common problems

They are signed in as somebody else

The invitation only works for the address you sent it to. Ask them to sign out and sign in with that address.

They are using an older link

Sending an invitation again replaces the link, so only the most recent email works.

The invitation has expired

Invitations last 14 days. Press Send again for a fresh one.

They already pay for LeadSwift themselves

An account with its own subscription cannot join a team, because signing in has to open one account or the other. They can register a separate account, with a different email address, for working on yours.

They are already on somebody else's team

One login works in one account. A separate email address solves this too.

That email is already on your team

The address is already on your list, either active or disabled. Use Enable to switch a disabled login back on rather than inviting it again.

Tip: If none of those fit, cancel the invitation and send a new one.
