How can I control my sending volume?

Sending controls let you decide how fast your campaigns go out, so large lists don't overwhelm your sending accounts and your emails look more natural.

All of these are found in Outreach › Email Automation, on the "Sending controls" card. They apply to all of your campaigns. Leave a number at 0 for no limit, and press "Save" when you're done.


Daily limits per campaign

  • New leads per campaign / day — the most first emails a campaign sends in a day. Follow-ups to leads already contacted are not counted, so conversations keep moving.
  • All emails per campaign / day — the most emails of any kind (first emails and follow-ups) a campaign sends in a day.

When a campaign reaches its limit, it pauses for the rest of the day and continues the next day. Your other campaigns keep sending.


Limiting emails to the same company

New leads per company / day stops you from emailing many people at the same business on the same day, which can look like spam to that company's mail server.

Leads count as the same company when they belong to the same business in your leads, or share a company email domain such as @acme.com. Free email providers such as Gmail and Outlook.com are never grouped together.


Adding a random delay

Emails sent at an exact, regular interval can look automated. Random extra delay adds a random amount of extra time, up to the percentage you choose, on top of each sending account's normal delay between emails.

For example, with a 60-second delay and a random extra delay of 50%, the gap between emails varies between 60 and 90 seconds.


Sending to new leads before follow-ups

Turn on "Send to new leads before follow-ups" to contact everyone on a new list first. Follow-ups wait until no new leads are ready to send.

Important: On a large campaign this can delay follow-ups for a while. Leave it off if replies to your follow-ups matter more than reaching new leads quickly.


CC and BCC

You can copy every campaign email to one or more addresses:

  • CC every email to — leads can see these addresses. Useful when a colleague should be visible on the conversation.
  • BCC every email to — hidden from leads. Useful for logging every email into your CRM using its BCC address.

Separate several addresses with commas, up to 5 for each field.

Important: If you send through your own send mail proxy, download the latest version of the proxy and upload it to your proxy server so CC and BCC are applied.
