How can I protect my sending reputation?

A few automatic safeguards help protect your sending accounts while your campaigns run, so a problem doesn't quietly damage your domain reputation.

Out-of-office replies

An automatic "I'm away until Monday" message is not a real reply — but because it arrives as a response to your email, it can look like one.

LeadSwift detects out-of-office and vacation auto-responders and, by default, does not treat them as a reply. The lead stays in the sequence and continues to receive your follow-ups once they're back at their desk.

Important: If you would rather an auto-responder stop the sequence, enable "Treat an out-of-office auto-reply as a real reply". We recommend leaving it off, otherwise you lose leads who were simply on holiday.

Auto-pause on delivery failures

If a campaign starts failing to deliver — bad credentials, a blocked account or a high number of rejected addresses — continuing to send only damages your reputation further.

To use:

1. Turn on "Auto-pause campaigns with a high failure rate"

2. Set the failure rate that should trigger a pause (5% is a sensible starting point)

3. Set the minimum number of attempts before the rule applies, so a handful of early failures doesn't pause a healthy campaign

When both thresholds are met, the campaign is paused automatically. It is the same paused state you can set by hand, so you can investigate and resume it whenever you're ready.


Sticky sending accounts

When you send from several accounts, follow-ups can otherwise go out from a different mailbox than the first email — which looks odd to the recipient and breaks the conversation.

Enable "Send a lead's follow-ups from the same account that sent the first email" to keep each conversation coming from one mailbox.

This works particularly well with threaded follow-ups, where your follow-up arrives as a reply inside the original conversation. If the original sending account is later removed, follow-ups fall back to any available account so nothing gets stuck.
