Why are my emails going to spam?

If your emails are landing in spam, it’s usually due to one or more deliverability issues. The best way to diagnose this is to isolate and test each component of your setup—starting from your sending behavior, domain configuration, content, and IP reputation.

Step-by-Step Troubleshooting

  1. Use low sending limits
Always limit your volume to no more than 20 emails per day and 1 per hour. Instead, you can configure additional sender email addresses to increase sending volume.
  2. Check your DNS records
Ensure your domain has valid SPF, DKIM, and DMARC records. You can use a tool like this SPF/DKIM checker to verify.
  3. Send as plain text
Avoid links, images, and formatting in your cold emails. Use the "Send as plain text" option when launching your campaign to mimic natural emails.
Important: When sending test emails, exclude dynamic tokens, i.e. {Business Name}. Without an actual lead selected, these may not be getting replaced and causing your emails to go to spam. Just use a simple body like "Test"
  4. Test from your webmail interface
From the webmail client of your sender email address, manually send a simple test email to your personal or test inbox. If it still goes to spam, the issue is with your domain or sender address.
  5. If it’s only happening in LeadSwift
Try sending a plain text email via LeadSwift using the same sender. If that delivers fine, your email content may be causing blocks.
  6. Make your content more unique
Using the same email over and over can be flagged as suspicious. You can use:
  7. Use a dedicated IP address
If issues persist despite clean content and proper setup, consider sending from your own dedicated IP address. This isolates your reputation from other senders.

Note:
  • Deliverability can fluctuate based on user engagement and ISP filters.
  • Always monitor new domains and senders carefully during their first few weeks of use.
  • Avoid using link shorteners, large images, attachments, or excessive formatting.
